Use case · Field operations
Speak the findings on site. Review the report before you leave.
An auditor should spend time observing, measuring, and judging—not reconstructing the day from notes back at a desk. A mobile workflow can combine spoken findings, photos, measurements, and the required audit structure into a complete draft that the auditor reviews, corrects, and signs electronically. The scenario arose from customer conversations and has not yet been implemented by AutoMates.
What this means in practice
Check completeness before departure
The auditor remains the author
On site
Capture the finding once—without breaking the inspection flow.
Speak naturally
Attach measurable evidence
Know what is still missing
From evidence to report
Turn field input into a controlled document flow.
Capture
Collect voice, text, photos, measurements, documents, and the relevant location or asset context through one mobile workflow.
Structure
Map each item to the audit template, finding category, requirement, severity logic, and supporting evidence.
Check
Flag contradictions, missing evidence, unclear references, and required fields before the draft is treated as complete.
Draft
Generate consistent findings, an executive summary, corrective actions, and appendices while preserving traceability to the source material.
Approve
The auditor reviews, corrects, and electronically signs. Only the approved version moves into the document, quality, or customer system.
Beyond faster writing
Improve the quality of the evidence—not only the speed of the report.
Prevent avoidable return visits
A real-time completeness check can identify a missing serial number, photograph, measurement, or clarification while the auditor is still on site.
- Template-specific prompts
- Evidence linked to each finding
- Uncertainty made visible
Create a usable operational view
Once approved reports are structured consistently, authorised managers can see recurring findings, overdue actions, high-risk assets, and patterns across locations.
- Role-specific access
- Trend and exception views
- Links back to signed source reports
Common questions
Answers before the call.
Does AI make the audit decision?
No. It can organise evidence, check completeness, apply configured logic, and draft the report. The auditor remains responsible for professional judgment, corrections, approval, and signature.
Can it follow our existing report template and terminology?
Yes, if the template, mandatory fields, terminology, rating rules, and evidence requirements can be made explicit. Process Discovery identifies the variations and exceptions that the workflow must support.
What if connectivity is poor on site?
An offline-tolerant capture flow can be part of the design where the mobile environment requires it. Local storage, synchronisation, device security, and conflict handling must be designed against the actual field conditions and data sensitivity.

How much of the audit still happens after the auditor leaves?
Bring one report template, the evidence collected on site, and the current review path. We will look for the smallest workflow that saves time without weakening professional control.
